File Permissions: Upload and Tagging

Learn what different user types can do with files in Goodshuffle Pro, including upload, tagging, and visibility rules.

To access this feature, you must be on Goodshuffle Pro Standard or above.

Goodshuffle Pro allows team members to upload, tag, and manage files with role-based permissions. It also auto-attaches files from client messages, making project file organization seamless. Here's how file access works for different users, and how auto-tagging helps keep files in the right place.


Sales User Permissions

Sales Users can:

  • Upload, edit, and delete any file on any project.

  • Tag files to any client, venue, or project.

  • View all files, including signed contracts and client-uploaded documents.


Crew User Permissions

Crew Users can:

  • Upload files to the main Files repository or directly to a project.

  • Tag their own uploaded files to clients, projects, or locations—but only on projects they’re assigned to.

  • Edit or delete only the files they uploaded.

🚫 Crew Users cannot view signed contracts or files uploaded by clients.


Contracts and Client-Uploaded Files

  • Signed contracts are system-generated and only visible to Sales Users.

  • Client-uploaded files (e.g., attachments to messages) are automatically tagged to the relevant project and client, but are also only visible to Sales Users.

  • Clients can’t see the full “Files” section but can securely sign contracts and make payments.

💡 To share a file with a client, manually attach it to a quote or message when sending it.

Auto-Attached Client Files

When a client responds to a message in Goodshuffle Pro and includes an attachment, the file is automatically tagged to both the project and the client.

This helps your team keep all relevant documents in one place without needing to manually upload them.

⚠️ Note: These client-uploaded files are only visible to Sales Users. Crew Users do not have access to them.


Tagging Files

Tagging helps keep your files organized and easy to search. You can tag a file by:

  • Client

  • Venue

  • Project

Sales Users: Can tag any file to any client, project, or location.
Crew Users: Can tag only their own uploads, and only on assigned projects.
