Sales and Crew users have access to this feature, allowing them to handle internal operations effectively while maintaining client-facing transparency.
Why Items Don’t Always Auto-Sync
When your contract is in the phase before it is signed, all inventory items added to the contract will automatically be sent to fulfillment.
After your contract is signed, changes are no longer automatically sent to fulfillment. After editing a signed contract, you will need to either turn fulfillment sync on, manually mark the contract as signed again, or have the client re-sign the contract to have the changes take place in fulfillment.
Changes made in the Fulfillment tab are strictly internal and do not alter the client’s contract, invoice, or pricing details. This ensures a clear separation between client-facing documents and internal workflows.
Set Unsigned Changes to Show by Default
You can change the default account setting so that unsigned changes always appear in the Fulfillment tab!
To enable this:
Go to your Account Settings.
Under Fulfillment Settings, turn on “Show unsigned changes in fulfillment.”
This will apply to all future projects in your account.
How to Enable Unsigned Changes to Fulfillment (Per Project)
Locate the 'Show unsigned changes in fulfillment' box on the left side of your project screen.
Toggle Fulfillment Sync to On:
All project items (including unsigned ones) will now appear in the Fulfillment tab.
How to Add Internal-Only Items to Fulfillment
Even without syncing, you can still include items your team needs, but the client won’t be charged for:
Go to the Fulfillment tab.
Click the Blue Add Button:
3. Choose a Fulfillment Item or Custom Fulfillment Item/Package:
4. Add your item from the inventory window, or create your custom item/package and add to fulfillment.
Note: Anything in the fulfillment tab is completely internal only and does not affect the contract. The contract affects the fulfillment, not the other way around. Clients are not notified about any changes in the Fulfillment tab, ensuring that internal adjustments remain entirely invisible to them for smooth operation.
