What are Timed Emails?

Timed Emails let you automatically send message templates to clients based on key moments in a project's lifecycle—like a few days before an event or after a contract is signed. You define the rules once in Message Center, and Goodshuffle Pro handles the rest.


What can I automate with Timed Emails?

You can configure any eligible email template to send automatically at a set time before or after a project anchor date—such as a logistics start date or event date. Rules are set at the account level and apply to all new projects automatically.

There are two types of Auto-Send templates:

  • Pre-Event Template: Remind clients about logistics or preparation before the event date.

  • Post-Event Template: Follow up with clients for feedback, reviews, or next steps.

You can also create a fully custom template and enable Auto-Send on it directly.


Where do I configure Timed Emails?

All Timed Email settings live in Message Center. From there, you can create or edit templates, enable Auto-Send, and configure your sending rules. Templates with Auto-Send enabled are clearly labeled "Auto-Send: On" in the template list.


Can I send a Timed Email to multiple contacts?

Currently, Timed Emails are only sent to the primary contact on the project.


What happens if I edit a template after a Timed Email is already scheduled?

If you update a template before a scheduled email has sent, the updated version is what will go out - similar to how Quote Expiration works. So if you make changes to a template, any pending sends will automatically reflect those changes.


Can I preview what will be sent before it goes out?

Yes. You can preview the message template directly in Message Center. From the upcoming messages panel on a project, you'll find a link that takes you straight to the template so you can review it before it sends.


Can I turn off Timed Emails for a specific project?

Yes. You can disable auto-send on any individual project without affecting your account-level rules. You can also view and remove specific scheduled messages directly from the project.


Will I be able to see what's been sent automatically?

Yes. Sent automated emails appear in the "Logs" tab on each project, clearly labeled as system-generated so they're easy to distinguish from messages you sent manually.


What are the limits of Timed Emails?

Timed Emails are designed for operational communication tied to a specific project—not open-ended marketing. There's a maximum window for how far before or after an anchor date a message can be scheduled. The UI will prevent you from entering values outside the allowed range.
